THE NEW VALLEY BAPTIST INTRANET PORTAL LAUNCHES ON SEPTEMBER 16

Starting Wednesday, September 16, 2009, the new Valley Baptist Intranet will go live using SharePoint technology. This is not the external Internet website, but rather the “in house” site where we all currently go for forms, applications, calendars and more. The updated Intranet portal will communicate the fullest array of the health system’s information, including: general information, divisional programs and activities, policies, regulations, data, and educational materials. The Intranet is “read only” and accessible by all staff, employees and physicians who have access to the VBHS network.

In addition to serving as the company’s primary electronic communication interface, the VBHS Intranet Portal will serve as a launching point to other applications, including department sites.

What will the new Intranet site offer that was not possible on the old Intranet site?
Many new features, including:
• Ability to search for documents and people
• Centrally located policies
• Calendars of events that can be saved to personal Outlook
• Subscription to alerts when documents are added, updated or deleted

What should I expect when I open up the Intranet on September 16?
• When you go to the Intranet the home page will automatically display the new Intranet Portal.
• The current Intranet will no longer be available. Content in the current Intranet can be made available to document owners upon request.
• Any “favorites” or bookmarked pages to specific sections of the current Intranet will no longer work as of September 16. If you try to find a page that is no longer available, it will tell you “page cannot be displayed.”

What about my old SharePoint site?
• The SharePoint sites created during the previous implementation will remain available for a short period of time.
• Current Site Owners are urged to contact David Smith for additional training on SharePoint site management and to review the new governance controls.
• After receiving the additional training, you may contact Joel Vincent, the SharePoint Business Analyst, for assistance and guidance in creating a site in the new SharePoint environment.
• New site creation or existing site migration will begin 30 days after go-live.

Each Department requesting a site will have a primary and secondary person responsible for their site, helping to ensure quick updates. The Education Department will provide classes to cover site creation basics and the new site management material. For class schedules, please e-mail David Smith or call him at 389-1767 (1-1767).
